Billing Contacts (continued)

Title – For residential type Contacts you may enter a title such as Homeowner, Husband, Wife, Son, Daughter, Neighbor etc.  For commercial type Contacts, typically the job title of the Contact is entered into this field.  This is an optional field but highly recommended.

Collection Contact – If the Contact is the person to be contacted if the account becomes delinquent, select this option.  If this option is selected, the telephone number entered for the Contact will display in the Collection Queue as the collector's contact phone number.  This is an optional field.

Cycle Invoice Contact – For residential type customers, if this option is selected, Cycle type invoices will be addressed to this Contact Name.  For commercial type customers, if this option is selected, on Cycle type invoices, the Contact Name will display and print above the name of the Company.  This rule applies to most invoice printing forms.

  Cycle Invoice Contact - For Residential type customers, this option should not be selected unless the Contact Name is different than the Bill To Name.

Phone Numbers

Of the four possible types of phone numbers on the Contact Customer Information form, an entry is only required in one of these phone number fields to be able to save the Contact record.  When typing in phone numbers into any of the fields, do not enter any punctuation such as dashes, parenthesis or spaces.  Once the number is typed in (all 10 digits) and the User clicks the tab key, the application will automatically format the phone number.

Telephone & Ext – Enter the primary contact telephone number in this field.  If a telephone extension is provided, any digits more than 10 will be considered to be the phone extension and will be formatted as such.  A phone extension may be up to 14 digits in length.

Mobile – If available, enter the mobile (cellular) telephone number in this field. 

Pager – If available, enter the pager telephone number in this field.

Fax – If available, enter the fax telephone number in this field.

Email – Enter a valid email address for the Contact.  An email address may be up to 50 characters in length.  This field is optional but highly recommended.

Contact Notes

This is a free form 255 character text field to enter important information about the Contact.  This field is informational purposes only.  Contact notes only print on the Customer Report if Contacts is one of the selected report options.
