Reviewing Charges and Invoicing

12.  Once the Technician Appointment has been fully dispatched, the Service Ticket may be prepared for invoicing.  If the Technician was dispatch using the Live Dispatch method, the User must first select a Resolution Code on the Ticket form.  The Billing and Labor forms will be grayed-out until a billable Resolution Code is selected.  If the ticket is not billable, select a Resolution Code and close the ticket.  For ticket closing instructions, refer to page 17.

Preparing the Service Ticket for Invoicing

Parts - Enter any parts used on the Parts form.  If parts are billable, the Service Sales price will default into the unit price field, however the User may override the unit price if necessary.

Labor - Review the Labor charges automatically calculated.  If no labor charges are automatically calculated, and the User needs to invoice the customer for Labor, navigate to the Billing form and select the Override Warranty and/or Override Service Level options.  Navigate to the Labor form and select the Manual Labor option at the top of the Labor form.  Enter the appropriate number of labor hours on the appropriate labor rate line.

Other Charges - If there are any Other charges that need to be added, make the appropriate selections on the Other form.

Review Field Notes - If a Resolution Note was entered when manually dispatching the Technician and the User has permission to Edit Field Notes, the resolution note may be modified to be "customer friendly words" that will print in the Memo field of the Invoice.  If the User does not have permission to Edit Field Notes, a new Field Note may be created and flagged as the Resolution Note.

 If entering a new Resolution Note, and the words on the previously saved resolution note are close to the words you want to print on the invoice, highlight the text in the previous field note, copy and paste into the new note and then make the necessary changes.  This saves time re-typing a very long note.
